Free invoice template

Australian tax invoice template with ABN and GST

If you are registered for GST, every sale over $82.50 (including GST) needs a tax invoice with a specific set of details on it, and your customer needs that document to claim the GST back. If you are not registered, the same layout works with GST switched off and the title changed to "Invoice".

This template covers the common shape of a small business invoice: a fixed fee for the job, labour by the hour, and materials passed on with GST. Change the lines, terms and notes to suit, or pick the template for your trade below.

What must be on a tax invoice

The ATO's list. The template lays each one out for you; it is general information, not tax advice.

  • The words "Tax invoice" (an invoice without GST can just say "Invoice")
  • Your identity: your business or trading name
  • Your ABN
  • The date the invoice was issued
  • A description of what was sold, with the quantity and the price of each item
  • The GST amount, shown separately or as "Total includes GST of $X"
  • Which items carry GST if some do and some do not
  • For sales of $1,000 or more, the buyer's identity or ABN as well

Worth adding for your trade

  • A due date and your bank details or PayID, so the client can pay without asking
  • An invoice number that follows on from the last one
  • The client's purchase order number or reference if they gave you one

Questions about invoicing

When do I need a tax invoice rather than an invoice?

When you are registered for GST and the sale is more than $82.50 including GST, the customer can ask for a tax invoice and you must give one within 28 days. Under that amount, or if you are not registered, a plain invoice is enough. Most registered businesses issue tax invoices for everything so they never have to think about it.

What is different about invoices of $1,000 or more?

A tax invoice for $1,000 or more (including GST) must also show the buyer's identity or their ABN. The template has a "Bill to" block for exactly that reason. Under $1,000 the buyer details are optional, but it is good practice to include them anyway.

Do I show prices including or excluding GST?

Either works as long as the GST is clear. This template lists unit prices ex GST, adds 10% on the lines where GST applies, and shows the GST total and the grand total separately, which is the easiest format for a customer to check and to claim.
