Market stall and food vendor invoice template for catering and wholesale

Market and food businesses invoice when they sell beyond the stall: catering for a function priced per head or per box, a food truck or coffee cart booked for a private event, and wholesale orders to cafes and shops. Prepared and catered food carries GST; some basic foods sold wholesale, such as plain bread, are GST-free, so a wholesale invoice can carry both.

What must be on a tax invoice

The ATO's list. The template lays each one out for you; it is general information, not tax advice.

  • The words "Tax invoice" (an invoice without GST can just say "Invoice")
  • Your identity: your business or trading name
  • Your ABN
  • The date the invoice was issued
  • A description of what was sold, with the quantity and the price of each item
  • The GST amount, shown separately or as "Total includes GST of $X"
  • Which items carry GST if some do and some do not
  • For sales of $1,000 or more, the buyer's identity or ABN as well

  • Which food lines are GST-free and which are taxable
  • The deposit already received and the balance due

Questions about invoicing

Which food is GST-free?

Basic foods such as plain bread, fresh fruit and vegetables, milk and plain meat are GST-free. Food prepared for immediate eating, catering, hot takeaway food, snacks and drinks other than milk and water are taxable. A wholesale invoice often has both, so mark each line.

Do I charge GST on delivery for a GST-free order?

Delivery that is part of a GST-free supply is generally GST-free too; delivery of taxable food carries GST. If the order is mixed, the delivery charge is usually taxable. Ask your accountant if you deliver a lot of mixed orders.

Do market stall sales need invoices?

Cash and card sales at the stall need a record, not an invoice; your card terminal and a daily cash count cover it. Invoices are for catering, events and wholesale, where the customer pays after the fact and may want to claim the GST.
