For independent support workers paid by plan managers, self-managed participants and platforms

BAS and bookkeeping for NDIS support workers, without the Sunday-night spreadsheet

An independent support worker invoices plan managers and self-managed participants using NDIS support item numbers and price limits, gets paid on a dozen different schedules, and sometimes takes shifts through a platform that pays after its fee. Spending is the NDIS worker screening check, first aid, manual handling and medication training, public liability and indemnity insurance, fuel between participants, and PPE.

FlowFi reads the bank statement, categorises every payment and expense, flags GST where it applies, and keeps a running total of your turnover, because GST-free supports still count toward the $75,000 threshold. If you are registered, the BAS is prepared, usually in a refund position, for you to copy into ATO Online.

What FlowFi does for NDIS support workers

Reconciles plan manager and participant payments

Payments from plan managers, self-managed participants and platforms are recognised as income and matched to your invoices so nothing is missed or doubled.

Invoices with the detail plan managers need

Send invoices showing dates, hours, rate and description, and let automatic reminders follow up the ones that are slow.

Sorts screening checks, training and insurance

Worker screening, first aid, mandatory training and insurance premiums are categorised as they appear, with GST checked on each.

Tracks travel between participants

Log the kilometres between participants and FlowFi applies the ATO cents-per-kilometre rate, or keeps logbook records.

Prepares a BAS that is usually a refund

GST-free supports mean 1A is small and 1B is real money back. FlowFi prepares the labels so you can lodge quarterly or monthly.

How it works

Step 01

Upload your bank statement

Export a CSV or PDF from your bank (CBA, Westpac, NAB, ANZ, Macquarie and most others) and drop it into FlowFi. No bank login, ever.

Step 02

AI sorts every transaction

Income, expenses, equipment and transfers are categorised, GST is worked out on each line and likely deductions are flagged for you to confirm.

Step 03

Review and lodge your BAS

Check the pre-filled labels, copy them into ATO Online in about five minutes, or export the pack for your accountant. FlowFi does not lodge for you.

Common deductions for NDIS support workers

Expenses NDIS support workers often claim. FlowFi flags these categories as they appear in your statement so you can confirm each one.

  • NDIS worker screening check renewals, police checks and working-with-children checks needed to keep working
  • First aid, CPR, manual handling, medication and other training that maintains your skills
  • Public liability and professional indemnity insurance
  • Travel between participants during the day, by cents per kilometre or logbook
  • PPE, gloves, hand sanitiser and any branded uniform
  • Platform fees and commissions deducted from your payments
  • Phone, rostering and invoicing software, and a share of your home office for admin
  • Activities and transport costs paid on a participant’s behalf and reimbursed, tracked so income and expense match

Questions NDIS support workers ask

Are NDIS supports GST-free?

Supports supplied to an NDIS participant are GST-free when the participant has a plan in effect, the support is a reasonable and necessary support in that plan, there is a written agreement, and the support is of a kind covered by the relevant determination. Most core supports from an independent worker meet this. Keep the service agreement; it is your evidence.

If my income is GST-free, do I still need to register for GST?

Yes, once your GST turnover reaches $75,000, because GST-free sales count toward the threshold. Registration usually works in your favour: you charge no GST on supports but claim the GST on fuel, phone, training and insurance, so most BAS are refunds. Some workers choose monthly reporting to get the refunds faster.

Hireup or Mable: which one makes me a contractor?

Hireup engages support workers as employees and withholds tax and pays super, so that income is wages. Mable and similar platforms connect independent workers with participants and deduct a fee, so that income is business income on your ABN. Check how each platform you use engages you.

What has to be on my invoice to a plan manager?

Plan managers generally need the participant’s name and NDIS number, the support item number, the date, hours and rate within the NDIS price limits, a description, your ABN and your bank details. FlowFi invoices carry your ABN and a free-text description; add the NDIS details in the line items.
